Who operates this application
This application is operated by Val Verde Unified School District. Kevin Bice administers the application as part of his work for the district. Questions, corrections, and requests can be sent to kbice@valverde.edu.
What the application collects
The application collects exactly what an applicant types, and nothing more:
- first name and last name;
- a Val Verde Unified email address at @valverde.edu;
- one role, chosen from a fixed list, plus a short role description when the applicant selects the option for a role not on that list;
- one school site or district department;
- one written response naming a recurring workflow or process the applicant wants to improve; and
- two acknowledgments, one for participation and one for technology setup.
The system adds two values the applicant does not type: the time the application was submitted, and a randomly generated application reference that identifies the response and produces the receipt shown on screen. Those items are the entire record. Applicants are instructed not to enter student, family, personnel, or other confidential information.
What the application does not collect
- No student data of any kind.
- No IP address, user agent, or device or browser fingerprint is written to the record.
- No analytics identifier, advertising identifier, or tracker of any kind.
- No saved draft. Nothing typed into the form is written to browser storage.
Who holds the information
Responses are written to one private Google Sheet used only for this cohort. The Sheet is owned by Val Verde Unified School District, and Kevin Bice is the initial reviewer using the district account kbice@valverde.edu. The Sheet is the single system of record and is not copied into a repository, shared drive folder, or presentation.
The Apps Script project and the response Sheet are owned by a Val Verde Unified School District account, and the web app runs as that account. Kevin Bice administers both through his district account. No vendor account is an initial reviewer, and no separate copy of the responses is kept. If another reviewer is added, this notice will be updated to name that person before access is granted.
How the information is used
Val Verde Unified School District uses application information to review interest, assemble a cohort across roles and sites, coordinate participation, and follow up with applicants. It is not used for any other purpose.
Service providers and technical records
Cloudflare serves the public page. Google provides the web-app endpoint, temporary abuse-prevention cache, and private Sheet. Those providers may process technical records such as IP address and request timing as part of serving and protecting their services. Val Verde Unified School District does not use those technical records to identify or profile applicants.
To reduce accidental repeat submissions, the backend temporarily caches a one-way digest of a submitted email address with its application reference for up to one hour. A five-minute aggregate request counter is also used for basic volume protection.
What we do not do
- We do not sell application information.
- We do not use it for advertising or cross-site tracking.
- We do not run analytics trackers on the cohort or application pages.
- We do not build profiles of site visitors.
Cookies and browser storage
The cohort and application pages set no first-party cookies and do not save application drafts in local storage. Some browsers send a “Do Not Track” signal. Because these pages do not track visitors, their behavior does not change when that signal is present.
Retention and applicant choices
Kevin Bice is the Val Verde Unified staff member responsible for application retention and removal. Responses may be used for application review and cohort coordination through June 30, 2028, and will be deleted no later than July 31, 2028.
An applicant can ask to see, correct, or delete a response by emailing kbice@valverde.edu. Identity will be verified before a response is disclosed or changed, and requests will be handled within 30 days.
California residents
This policy describes the application’s current practices. Because application information is not sold or used for cross-context behavioral advertising, there is no sale or advertising-based sharing to opt out of. The access, correction, and deletion process above is available to everyone.
Children
Val Verde Unified is a TK-12 district, so this point matters. This is a staff application, intended for adult Val Verde Unified employees and leaders. It is not directed to children, it is not marketed to students, and it does not knowingly collect personal information from children under 13. It collects no student data of any kind, and applicants are instructed not to enter any.
Changes
If the application’s information practices change, this page will be updated before the change takes effect. A material change affecting information already submitted would be communicated to the people affected.
